Production Coordinator

About the Role

The Production Coordinator is the engine behind our creative operations. Responsible for
keeping all projects moving smoothly from concept to delivery across our departments. This role
requires a proactive problem-solver with exceptional organizational skills, production
experience, and a deep understanding of creative workflows. You’ll serve as the bridge between
our creative teams and leadership, ensuring deadlines, budgets, and expectations are consistently
met.

Production Manager

  • Assist in onboarding new clients, ensuring a smooth transition into studio operations.
  • Support during the quote stage by vetting projects, providing estimates and obtaining
    detailed production insights.
  • Help facilitate sales through RFP management and other
    opportunities.
  • Create and manage, along with project leads, briefs, production documents and notes.
  • Provide support, including scheduling, communication, production reports, client
    communications, and exit coordination.
  • Manage day-to-day operations of all creative projects from kickoff to completion
    Create, maintain, and communicate project timelines, schedules, and deliverables
  • Coordinate with design, web, and video teams to allocate resources and manage
    workloads
  • Serve as the point of contact for client project status, resolving issues and removing
    roadblocks
  • Ensure quality control and consistency in deliverables across departments
  • Collaborate with Studio Manager and Founders to refine processes and improve
    efficiency
  • Track budgets, timelines, and vendor relationships when applicable
  • Assist in Print coordination
    Communicate with vendors and contractors
  • Prepare internal progress reports and contribute to team planning meetings
  • Assist in client communication when needed, in coordination with the studio leadership

 

Project Management and Creative Coordination

  • Assess creative production documents and collaborate with management to assign
    creative projects efficiently.
  • Ensure projects meet deadlines and identify opportunities for workflow improvement.
  • Maintain client goals through team, proactively communicate, and troubleshoot as
    needed.
  • Maintain a comprehensive view of project scopes, time budgets, and team capacity.
    Communicate effectively on status of projects and potential scope creeps to team and
    clients
  • Manage the studio’s project lineup


Team and Culture Development

  • Assist in recruiting, onboarding, and maintaining employee documentation.
  • Manage and execute the employee handbook and contracts, ensuring compliance and updates as needed including but not limited to policy updates, employee discipline, production updates.
  • Prepare for and conduct team reviews with management.
  • Regularly review and improve department processes and resources
  • Procure and leverage opportunities for team growth and awards.
  • Along with Studio Manager, foster studio culture and morale by organizing internal
    events, team outreach, and public events.


Production and Pre-Production Support

  • Assist in video production pre-production tasks, such as booking accommodations,
    managing per diems, and purchasing supplies and payment to contractors and vendors.
  • Provide support for various creative production tasks as needed.
  • Assist in occasional social media and website updates which may include but not limited
    to posting, blog writing and internal video productions.
  • Assist in developing web outlines, project plans and project brief creation.

 

Production Manager

  • Manage productivity software (e.g.,Clockify, Basecamp) to ensure optimal workflow.


Additional Duties

  • Assist in other operational and creative duties to ensure the productions runs smoothly.
  • Other duties assigned.
  • Experience: 3+ years of experience in production or project management, preferably in a creative or
    agency setting 
  • Technical Skills:
    • Strong familiarity with creative production workflows, (print, web, video, etc.) marketing
      and advertising
    • Exceptional organizational and time-management skills
    • Strong communication and leadership skills; comfortable directing cross-functional teams
    •  Proficiency with project management tools (e.g., Basecamp, Clockify, or similar) but
      willing to train
    • Ability to adapt quickly and juggle multiple projects with competing priorities
    • Understanding of creative processes and respect for both deadlines and the creative
      journey
  • Problem-Solving: Strong troubleshooting and debugging skills for web development and hosting issues.
  • Collaboration: Excellent interpersonal skills and ability to work in a team-oriented environment.
  • Adaptability: Openness to feedback and a willingness to learn and grow in the role.

  • A background in design, media, or content production a bonus but not necessary
  • Knowledge of basic budgeting and invoicing processes
